A submittal is stuck on Processing or shows Failed — what do I do?
Quick answer: Open the submittal. If the AI failed midway, the bottom of the page has a Reset & Run Again button — click it to restart the review from scratch. If it's genuinely stuck on Processing for over an hour, treat it like a failure and Reset. Escalate to your admin only if Reset doesn't help.
Processing vs Failed
| Status pill | What it means | Typical time |
|---|---|---|
| Processing (amber) | AI is actively running. | 5–20 minutes for most submittals. |
| Failed (red) | AI could not complete. Likely a bad PDF, a timeout, or a transient backend error. | Immediate — shows up as soon as the run errors. |
Steps to recover
- Open the submittal from the Plan Reviews queue.
- Scroll to the very bottom of the project page. You'll see Reset & Run Again.
- Click it. The submittal flips to Processing and the AI starts over.
- Wait 5–20 minutes. Status flips back to Completed when done.
See Reset & Run Again for full details on what it wipes.
If Reset doesn't help
Something's wrong upstream. Check:
- Was the PDF readable? A corrupt or password-protected PDF fails every time. Ask the builder to re-export and re-submit.
- Was it the wrong permit type? If the skill for this permit type isn't onboarded for your city, the review errors. Check the permit-type tag on the card.
- Is this a pattern across multiple submittals? If yes, it's an outage on our side — flag your admin so we can investigate.
What you don't lose
- The submittal itself (plans + form data).
- Prior Bluebeam exports that were downloaded.
- The project URL — reviewers bookmarking it won't need to re-find it.
